This Privacy Policy explains how SAS Connect Pty Ltd (ABN 63 687 377 939) (“SAS Connect” , “we”, “us”, “our”) collects, uses, stores and shares personal information when you access or use our websites and applications, including the SAS Connect platform and related services (the “Services”).

SAS Connect supports workforce operations such as shift and roster workflows, timesheets, project tracking, reporting and compliance. Some features may require access to your device functions such as camera and location, only when you choose to use those functions.

1. Personal information we collect

1.1 Information you provide

We may collect:

  • Full name
  • Email address and phone number
  • Job title/role and organisation details
  • Profile photo (if you upload one)
  • Information and files you submit through the Services (e.g., project notes, attachments, photos)
  • Support communications and requests

Diversity and workforce participation information (Sensitive information)

SAS Connect includes functionality that allows members to provide diversity and workforce participation information within the platform. This may include responses (such as “Yes”, “No”, or “Prefer not to say”) to categories including:

  • Aboriginal or Torres Strait Islander identity
  • Long-term unemployment status
  • Refugee or asylum seeker status
  • Migrant or culturally diverse background
  • Public or social housing residency
  • Experience of domestic or family violence
  • Disability status
  • Gender participation in trade or non-trade roles
  • Age categories (e.g., under 25 or over 45)
  • Veteran status
  • LGBTQIA+ identification
  • Apprenticeship, traineeship, or cadetship participation
  • Regional or rural residency

Providing this information is entirely voluntary, and members may select “Prefer not to say” for any category.
By choosing to submit this information through the platform, you consent to SAS Connect collecting and using it for workforce reporting, diversity tracking, compliance reporting, and platform functionality purposes.
Access to this information is restricted based on user roles and privilege settings within SAS Connect

1.2 Device permissions and feature data

Camera (optional)

SAS Connect may request access to your device camera to:

  • Upload or update your profile photo; and/or
  • Capture and upload project/site photos for documentation and reporting.

Camera access is used only when you take action to capture or upload an image. SAS Connect does not activate the camera in the background. You can manage camera permissions in your device settings.

Location (optional)

If enabled and you grant permission, SAS Connect may collect location information while the app is in use to:

  • Support location-aware work allocation (where configured by your organisation)
  • Record task and site activity locations
  • Support project mapping and reporting accuracy

We do not intentionally collect location information when the app is closed or idle. If you disable location access, some features may be limited.

1.3 Usage, device and log data

We may collect:

  • Device model, operating system version, and app version
  • Usage statistics and interaction logs
  • Login and security logs (e.g., timestamps, IP address)
  • Error, diagnostics, and crash reports

1.4 Cookies and tracking technologies

SAS Connect uses cookies and similar technologies to support website functionality, maintain secure sessions, and improve user experience through analytics and performance monitoring.

Our public website may use analytics, performance monitoring tools, and advertising or marketing technologies to understand visitor engagement and measure the effectiveness of our communications.

1.5 Billing and payment information

For paid subscriptions, we collect billing information such as billing name and address. Payments are processed by Stripe. SAS Connect does not store full card numbers. Stripe processes payment details and provides us with payment confirmation and related billing records.

We use personal information to:

  • Provide and operate the services and platform features
  • Manage user accounts, roles, privileges, seats and add-ons (where applicable)
  • Generate operational outputs (e.g., rosters, timesheets, project reports)
  • Provide support and respond to enquiries
  • Manage subscriptions, invoicing, and applicable taxes (including GST)
  • Monitor, protect and improve the security and performance of the services
  • Comply with legal obligations and enforce our terms

3. How we share information

We do not sell personal information
We may share information:

  • Within your organisation: with authorised users (e.g., admins, supervisors, project leads) according to your organisation’s roles and privileges.
  • With service providers: vendors who help us operate the Services (e.g., hosting, analytics, communications, customer support systems). They are required to handle information securely and only for the services they provide to us.
  • With Stripe: to process payments and billing operations for subscriptions.
  • For legal or safety reasons: where required by law, or to protect the rights, safety, and security of SAS Connect, our users, and others.

4. Your organisation’s control

In most cases, the organisation that subscribes to SAS Connect controls data entered into the platform about its workforce, subcontractors and projects (“Customer Data”). If you are using SAS Connect through your employer or another organisation, you may need to contact your organisation’s admin to access, correct or delete certain information.

5. Data retention

We retain personal information only as long as needed for:

  • Providing the services,
  • legitimate business operations (including billing and audit records), and
  • legal compliance.

When information is no longer required, we take reasonable steps to delete or de-identify it.

6. Data security

We use reasonable administrative, technical and physical safeguards designed to protect personal information, including encryption in transit, access controls, and monitoring. No online system is completely secure, and you are responsible for protecting your login credentials.

7. Your rights and choices

Depending on your role and applicable law, you may be able to:

  • Access and update your profile information
  • Manage camera and location permissions via your device settings
  • Request data export (where available)
  • Request account deletion (subject to legal and contractual obligations)

8. Children

SAS Connect is intended for workplace use and is not directed to children under 16. We do not knowingly collect personal information from children.

9. Data hosting (Australia only)

SAS Connect hosts and processes data in Australia only. Our operational service providers used to deliver the Services are selected and configured to support this approach.

10. Changes to the policy

We may update this Policy from time to time. If changes are material, we will provide notice through the platform, email, or our website. Continued use after the effective date means you accept the updated policy.
